Reporting to Assistant Controller

We are seeking a highly motivated Accounts Payable Specialist. This position is responsible for the daily processing of accounts payable transactions for a rapidly growing development stage life science company. The role involves daily interaction with all departments in the company and offers the opportunity to take on additional duties within the accounting function, such as assisting with the month-end close, as time permits. This position reports to the Assistant Controller.

  • Daily processing of vendor invoices
  • Managing communications with vendors and internal team members
  • Ensuring compliance with new vendor review/approval process and obtaining required
    documentation from vendors
  • Reconciliation of vendor account balances and resolution of any discrepancies
  • Processing of employee expense reports including review of receipts, coding and
    securing of approvals
  • Ensuring timely payments to vendors
  • Monthly review and reconciliation of Accounts Payable account
  • Assisting with the implementation and ongoing management of a new vendor payment
    application and an expense reporting software application
  • Review and reconciliation of company credit card transactions
  • Acting as the key liaison with company employees for matters related to accounts
    payable, expense reports and company credit cards
  • Tracking use tax due and prepare quarterly Use Tax returns
  • Preparation of 1099 forms at year-end


  • BS/BA degree (or coursework) in finance or accounting preferred
  • Experience in accounts payable, preferably in life science or pharmaceutical
    development companies
  • Comfortable using online software programs. Experience with QuickBooks Online, and Concur preferred.
  • Strong Excel skills
  • Good judgment and understanding of accounting and GAAP compliance
  • Understanding of internal controls and process workflow desired
  • Superb organizational skills with exceptional attention to detail
  • Proven analytical and problem-solving skills
  • Strong interpersonal, oral and written communication skills
  • Self-starter, independent thinker and deadline driven; able to effectively operate
    independently and as part of a team
  • Ability to adapt to a changing work environment is essential
  • Demonstrated high energy and ability to work in a fast-paced environment
